The role ensures that supplier data and procurement transactions are accurate, compliant, securely validated, and completed within agreed service level agreements (SLAs) and turnaround times (TATs).

Job Description

  • Conduct calling confirmations with suppliers to validate supplier identity, authorized contact details, banking information, and requested changes before onboarding or master-data updates.
  • Perform supplier bank account verification using approved procedures and supporting documents to reduce payment, fraud, and compliance risks.
  • Review and validate supplier onboarding requests, including business details, bank documents, tax information, registration records, and other mandatory documentation.
  • Coordinate end-to-end supplier onboarding and supplier master-data updates across applicable ERP systems and procurement platforms.
  • Identify discrepancies, incomplete documentation, unusual requests, or potential risks, and escalate them promptly through the defined governance process.
  • Maintain complete, accurate, and audit-ready records of calling confirmations, verification evidence, approvals, onboarding status, and supplier communications.
  • Communicate professionally with suppliers, business users, Sourcing, Procurement, Finance, Accounts Payable, Compliance, and Vendor Management teams to resolve onboarding and verification queries.
  • Monitor pending verification and onboarding requests and ensure completion within agreed SLAs and TATs.
  • Guide suppliers on registration, documentation, compliance, non-disclosure agreements, and onboarding requirements, and follow up until all actions are completed.
  • Create Purchase Requisitions and Purchase Orders in different ERP systems based on approved business requests and supporting documents.
  • Process Purchase Order amendments and related procurement transactions in accordance with SOPs, delegated authority, and procurement policies.
  • Interpret supplier quotations and commercial documents accurately to support PR/PO creation and order processing.
  • Coordinate with business users and suppliers to facilitate timely PO release, supplier acknowledgement, and delivery follow-up.
  • Create or support Goods Receipts and Service Entry Sheets in systems such as SAP, Oracle, and IFS, where applicable.
  • Support invoice compliance checks, reconciliation, approval tracking, and dispute resolution between Sourcing, suppliers, business stakeholders, and Accounts Payable.
  • Resolve complex operational queries using sound knowledge of procurement terminology and processes, including RFX, quotations, bids, supplier onboarding, and purchase-order management.
  • Prepare operational reports, track process performance, and highlight open items, control gaps, risks, and challenges requiring management attention.
  • Support process excellence, standardization, harmonization, and continuous-improvement initiatives across procurement operations.
  • Provide guidance and process support to junior team members and serve as a backup for critical supplier verification and procurement activities.
  • Perform other supply-chain or Global Business Services activities assigned from time to time, within the scope of the role.
