Job Purpose

Provides general administrative support to a department or group of professionals under limited supervision. Requires independence, discretion, and may include secretarial services for one or more individuals.

Job Description

  • Compliance & Reporting: Ensure SSA and Quality system compliance, close reports in QN-INTELEX, and maintain HSE requirements aligned with legal, client, and company standards.

  • Safety & Emergency Response: Support emergency response plans and exercise STOP Work Authority to halt unsafe tasks.

  • Data & Analysis: Collect, analyze, and summarize data; prepare charts, tables, and issue periodic/ad hoc reports.

  • Billing & Contracts: Participate in billing processes, client visits, contract administration, and assist with tenders/bids related to service costs.

  • Expense & Inventory Management: Manage expense reports and monthly bonuses for service technicians; participate in inventory counts and reporting with supervisors.

  • Correspondence & Client Relations: Handle routine correspondence, liaise with clients, partners, and suppliers to resolve issues.

  • Logistics & Office Support: Arrange travel logistics, resolve related issues, and ensure office services/supplies are available as needed.

  • Team Supervision: Train and supervise junior staff, ensuring quality of work and adherence to standards.

You are meant for this job if:

  • Education: Diploma or Bachelor’s in Engineering, Business Administration, or Accounting.

  • Experience: Minimum 2 years in administrative roles.

  • Knowledge: SAP, local laws/regulations, cost estimations, inventory control.

  • Skills: Fluent English, strong communication, decision-making, problem-solving, teamwork, adaptability.

 

Work Environment

  • Coordinates special projects to support operations.

  • Exposed to risks such as noise, vibration, temperature, electricity, lighting, awkward postures, manual handling, and psychosocial factors.

  • Interactions:

    • Internal: Facilities, Logistics, Procurement, Finance, and team members.

    • External: Suppliers, vendors, licensors, and authorities.

Physical Demands

  • Approx. 85% office, 10% plant, 5% field work.

  • Occasional manual lifting within legal limits.
