Job Purpose
Coordinate and lead the Document Control team to ensure efficient, compliant, and value‑adding management of project data and documents for Projects Services. Drive standardization and simplification, ensure data accuracy and on‑time deliverables, and develop team capabilities in alignment with TechnipFMC procedures, project requirements, and client standards.
Job Description
- Acts as the documentation area representative and primary focal point for internal and external demands across the portfolios. The Supervisor serves as the first escalation point for Document Control issues, allocates resources and monitors performance.
- Ensures alignment with Engineering, Project Management, Supply Chain, Quality, and other interfacing areas to meet relevant technical and documentary requirements.
- Maintains effective communication with internal and external customers, project teams, and suppliers, while continuously suggesting improvements to enhance efficiency and streamline communication processes.
- Lead and supervise a team of Document Controllers, ensuring quality, efficiency, and adherence to schedule.
- Ensures the team adheres to the TechnipFMC, behavioral policies, work instructions, processes, procedures and Project specific requirements
- Conduct quarterly check‑ins to monitor performance in accordance with goals metrics; provide feedback and coaching to the team and insights to the Manager.
- Serve as the technical focal point and specialist for internal and client documentation systems: Proarc, OpenText, SharePoint, PowerBI and client platforms.
- Provide advanced technical support, parameterization, standardization, access management, and assurance of correct system usage across projects and stakeholders.
- Ensure compliance of configuration/parameterization, access governance, and usage standards across documentation systems.
- Oversee Document Control execution across assigned projects to meet milestones and deliverables; monitor progress, quality, and schedule adherence.
- Perform senior‑level Document Control tasks when required (e.g., transmittals, MDR updates, engineering and supplier documentation flow per global and project‑specific procedures).
You are meant for this job if:
- Depending on the Execution Center, country, and local regulatory requirements, the minimum educational criteria may include a high school diploma/GED, a bachelor’s degree, or equivalent professional experience.
- ≥10 years in Document Control and ≥ 3 years in direct/indirect supervisory/management roles preferably related
- Proficiency in Records/Document Management principles; Acrobat Adobe; EDMS (Electronic Document Management System); SharePoint.
- Broad knowledge and advanced understanding of Document Control department policies/procedures, terminology and interrelationships.
- Strong problem solving, stakeholder management, and communication skills (advanced English - written and verbal).
- Ability to evaluate and resolve problems quickly and independently.
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint & Access).
- Proven mentoring experience; ability to multi‑task amid interruptions, remain organized and customer‑focused, and handle confidential/sensitive information
WORK ENVIRONMENT:
- Office environment: safety equipment may be required when traveling through other sites/ areas for training or meetings.
- Occasional travel to other offices and client locations.
Frequent sitting, computer/telephone usage; ability to lift up to 25 lbs / 12 kg to chest height for physical record boxes.
