Job Purpose

Manage Quotation process, from Budgetary to submission Pricing Approval. Manages Order Process & Contract Management.Consolidates and analyzes information from Sales, external Customers, requirement and coordinate with related departments.

Job Description

DUTIES AND RESPONSIBILITIES: 

1. Tendering & Proposal Management 

• Coordinate ITT (Invitation to Tender) and Prequalification (PQ) reviews and execute quotation preparation in line with the agreed bid strategy. 
• Act as the focal point for the preparation, compilation, and submission of techno-commercial quotations and tender packages.
• Review tender requirements and coordinate with Sales, Aftermarket, Engineering, Planning & Procurement, QA, HSES, Finance, and other stakeholders to gather inputs required for tender submissions. 
• Prepare tender schedules and monitor progress to ensure timely completion of all deliverables. 
• Organize and facilitate bid kick-off meetings and tender review meetings with relevant stakeholders. 
• Prepare and manage tender tables of contents, commercial documentation, and supporting documents. 

2. Techno-Commercial  & Bill of Materials (BOM) Proposal

• Prepare and maintain Bills of Material (BOM) for quotations, tenders, and customer proposals. 
• Verify BOM accuracy against quotation layouts, technical requirements, and customer specifications. 
• Develop and validate cost along with Estimating & Tender Support Team. 
 

3. Order & Contract Management

• Coordinate order handover and launch activities following contract award. 
• Initiate and facilitate order kick-off meetings with Engineering, EMS, Quality, Manufacturing, and other stakeholders. 
• Create and maintain sales orders within ERP systems and support contract execution activities. 
• Coordinate relevant stakeholders to ensure compliance with Local Content (TKDN) requirements and approved project budgets. 
• Communicate commercial deviations, exceptions, and contractual issues with Sales teams and customers. 
• Monitor and verify Local Content achievement throughout contract execution and support post-audit activities.

4. Legal, Finance & Risk Management

• Coordinate with Legal and Finance teams to review contractual terms and commercial requirements. 
• Support cash flow assessments and financial risk evaluations for bids and contracts. 
• Coordinate payment term reviews and customer credit assessments with Finance. 
• Follow up and secure approvals for legal and financial deviations from standard company policies. 

5. Documentation & Administrative Management

• Prepare, review, and update vendor registration and renewal documents. 
• Draft and coordinate formal correspondence, commercial letters, and customer responses. 
• Support contract amendment and purchase order revision processes. 

6. Local Content (TKDN) Management

• Review customer and regulatory Local Content requirements during the tender stage. 
• Develop Local Content strategies and optimize sourcing plans to achieve contractual TKDN targets. 
• Prepare and issue Local Content calculations and declarations for tender submissions. 
 

7. Cross-Functional Support & Continuous Improvement

• Support HSE campaigns and promote a strong safety culture across business activities. 
• Participate in People & Culture initiatives, employee engagement programs, and training campaigns. 

You are meant for this job if:

ENTRY QUALIFICATIONS:
• Minimum Bachelor's Degree in Engineering, Business, or a related discipline, or equivalent combination of technical and commercial experience. 
• Minimum 3-5 years of experience in commercial operations, project management, tendering and proposal preparation, procurement, contract administration, or related functions. 
• Experience in the industrial, manufacturing, energy, or oil & gas sectors is preferred. 
• Experience with ERP systems such as SAP or S/4HANA. 
• Fluent in English, both written and spoken. 
• Proficient in Microsoft Office applications, particularly Word, Excel, and PowerPoint. 
• Strong commercial acumen with excellent analytical, negotiation, and communication skills. 
• Ability to manage multiple priorities, work under pressure, and meet deadlines. 
• High attention to detail with a strong commitment to compliance, accuracy, and customer satisfaction. 
• Embodies a strong safety culture and quality mindset in all aspects of work.
