Job Purpose

As the Project Services and Document Control Coordinator, you will perform more advanced administrative duties that require a broad knowledge of departmental policies and procedures. This role will report to the Document Control Manager in the North America Subsea Project Services department. 

Job Description

  • Applying thorough level of understanding of the organization, programs, and procedures related to the work of the department and/or team to ensure accurate data entry from various sources into spreadsheets, verifies input and calculations.
  • Regularly develops original spreadsheets, databases, organizational charts, and other reports.  
  • Help develop and maintain project documentation, including reports, logs, transmittals, and project files through SharePoint.
  • In this role, you will manage assigned projects by tracking deliverables and deadlines, and handling various coordinator tasks.
  • Identifies and recommends improvements to increase department efficiency and effectiveness as well as improve communication of departmental and functional information.
  • Resolves problems and refers only most complex issues to higher levels. 
  • Other duties as assigned by Manager to support ad-hoc business needs.

You are meant for this job if:

  • Minimum 2 years of relevant work experience
  • Experience working on projects with specific deadlines, project plans and budgets (preferred)
  • Solid understanding of policies and procedures that apply to assignments.
  • Ability to evaluate and resolve problems independently.
  • Skilled in managing both time and workload effectively and efficiently.
  • Ability to adapt techniques or processes to complete assignment.
  • Strong interpersonal skills for inter-departmental and customer interaction.
  • Advanced verbal and written communication skills in English, with strong vocabulary and grammatical skills with an eye for attention to detail.
  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Access, and Visio) familiarity with Sharepoint. PowerBI Whiteboard, MIRO (preferred).
  • Ability to learn new systems (Proarc,OpenTxt)
  • Must have the ability to handle many diverse tasks simultaneously and be able to work effectively with interruptions.
  • Demonstrated ability to handle confidential or sensitive information or issues.
  • Great attitude and a willingness to learn and adapt to new and emerging technologies.

WORK ENVIRONMENT:

Spends 95% time in an office environment and/or 5% in a shop or field environment. May be exposed to possible hazards including noise, outdoor temperature extremes, chemicals, pressure testing, heavy lift operations and shop/field traffic.

PHYSICAL DEMANDS: 

Office environment requires sitting, operating a computer, walking and some lifting. Some exposure to possible shop hazards including high noise, heavy machinery, and shop traffic.
