Job Purpose
The Facilities Finance Coordinator supports the Facilities and Real Estate team by managing purchase orders, service orders, invoice resolution, and vendor-related administrative processes in a fast-paced, dynamic environment. This role ensures accurate tracking, timely processing, and effective communication across internal teams and suppliers. Success requires strong organizational skills, attention to detail, and the ability to prioritize tasks efficiently.
Job Description
- Assist Supervisor and Manager in management and processing of all LSO/POs across North America, Canada, Paris, Guyana & Abu Dhabi.
- Coordinate directly with vendors and internal stakeholders (Facilities, Procurement, Finance) to support day-to-day needs and ensure timely resolution of operational issues.
- Serve as a main POC for contracted vendors in resolving invoice submission or payment issues.
- Maintain efficient electronic filing system for Purchase Orders and Limited Service Orders.
- Maintain and routinely update database to track spending on Purchase Orders, LSOs
- Conduct a weekly cockpit review with team to process any rejected invoices located in SAP.
- Analyze and reconcile aging statements for suppliers.
- Oversee and facilitate all receiving for standard POs for North America and Canada.
- Requisition creation for all standard POs for Rocky Mountain Region, Western Region, Canada, Paris, Guyana, Abu Dhabi, Surface, Subsea & Real Estate.
- Manage ATC Creation for Subsea and Surface Indirect.
- Assist Supervisor in Financial support for Facilities Managers.
- Support team members with vendor set up requests.
- Provide additional support to Facilities Supervisor and Manager as needed.

- Professional education in the discipline
- At least two years of related professional experience.
- Computer skills with knowledge of word processing, Excel, and an ERP system, such as SAP or Ariba
- Some experience in implementing accounting systems, methods, procedures and internal controls.
- Demonstrates ability to work independently and to solve non-recurring problems.
- Demonstrates leadership ability and proficiency in mentoring, thinking creatively, and project Planning
- Able to work effectively with others.
Work Environment:
Office environment, some time will be spent in factory/warehouse meeting with personnel. 80% - 90% of time spent on computer. 10% - 15% of time spent problem solving/communicating with personnel.
Physical Demands:
Office environment requires sitting, operating a computer, walking and some lifting. Some potential exposure to possible shop hazards when visiting the shop/field environment that includes high noise, heavy machinery, and shop traffic
