Job Purpose

Moinitor all sales orders, create delivery notes ensure smooth material flows by coordinating shipments, update client with their order status, managing documentation. Supports global logistics, SAP processes, and compliance to deliver timely, accurate.

Job Description

  • Create and manage Delivery Notes (DNs): Generate DNs in SAP and ensure accurate handover to the warehouse for picking and packing of materials.
  • Coordinate with warehouse for packing readiness: Follow up with warehouse teams on material readiness, packing status, labeling, and collection handover requirements.
  • Prepare shipping documents and coordinate Goods Release: Compile necessary shipping paperwork and communicate with customers to obtain GL for processing.
  • Ensure trade compliance and documentation accuracy: Verify that shipping documents, customs paperwork, HS codes, invoices, packing lists, and supporting documents are complete and accurate before shipment processing.
  • Coordinate customs documentation with OSC: Work closely with the OSC team to prepare and process customs documents for export and import shipments.
  • Arrange shipment collection with freight forwarders: Liaise with customer-assigned freight forwarders to schedule and confirm timely pickup of outbound shipments.
  • Monitor shipment status and provide regular updates: Track inbound and outbound shipments and keep customers, sales teams, warehouse, and internal stakeholders informed on progress, delays, and expected completion dates.
  • Perform Post Goods Issue (PGI) and support invoicing: Execute PGI in SAP after shipment collection and attach relevant documents to enable invoicing.
  • Manage HS code summaries and inbound clearance: Prepare HS code summaries and coordinate with OSC and freight forwarders for customs clearance of inbound goods.
  • Conduct physical review and post Goods Receipt (GR): Verify inbound shipments physically and post GR in SAP to update inventory records.
  • Maintain shipment records and audit trail: Ensure all shipment-related documents are properly attached, filed, and traceable in SAP/shared systems for future reference and audit purposes.
  • Maintain inventory accuracy and control storage locations: Monitor stock accuracy, conduct inventory checks, and coordinate storage location updates as required.
  • Monitor excess and obsolete inventory: Track materials in 9999 location and collaborate with the sales team to adjust storage locations or initiate write-off/on processes.
  • Resolve shipment and documentation issues: Identify delays, missing documents, customs concerns, or system issues and coordinate with relevant teams for timely resolution.
  • Support continuous improvement: Identify recurring process gaps in DN creation, shipment handover, clearance, GR, PGI, and documentation flow, and suggest improvements.

You are meant for this job if:

 

  1. REQUIRED KNOWLEDGE/FORMAL EDUCATION:

Diploma or Bachelor's in Logistics, Supply Chain, or related field.

Good understanding of international trade and customs regulations.

 

  1. REQUIRED EXPERIENCE:

3–5 years of relevant experience in logistics coordination, warehouse operations

Hands-on experience with SAP processes.

International shipping documentation, including import, export, delivery notes, goods receipt, and goods issue activities.

Experience working within the UAE logistics environment, preferably with Jebel Ali Free Zone import/export and customs clearance processes.

 

  1. REQUIRED CERTIFICATE(S):

SAP MM / SD process knowledge or relevant SAP certification.

Import/export documentation or customs clearance training.

Incoterms training or certification

Basic HSE and warehouse safety awareness training is an added advantage.

MS Office proficiency certification is an added advantage.

 

  1. REQUIRED INTERPERSONAL SKILLS:

Strong communication, coordination, and follow-up skills.

Ability to work effectively with multicultural teams, customers, warehouse, sales, and freight forwarders.

Customer-focused approach with the ability to provide clear and timely shipment updates.

Ability to manage urgent shipment priorities.

Strong problem-solving mindset to support timely resolution of shipment, documentation, and coordination issues.

Arabic language skills are an added advantage.

Proficiency in SAP and MS Office tools.

Analytical thinking and attention to detail.
